Purchase invoice payments can be sent to the bank via the bank integration or by exporting them from a file. The different options are described below.<\/strong><\/p>\n

\n
<\/span>Saving the payment bank file<\/strong><\/div>
\n1<\/strong><\/span> To generate a payment bank file go to Operations -> Purchase invoices<\/strong> and select invoices with the status “Unpaid<\/strong>“, “Overdue<\/strong>“.
\nOnce the necessary invoices are selected, click on “Bulk actions<\/strong>” and then choose “Export selected rows<\/strong>“.<\/p>\n

\"\"<\/a><\/p>\n2<\/strong><\/span> A panel titled “Data Export<\/strong>” will open. In the “Exporting of invoices” section, click on “Payments as XML file<\/strong>“.<\/p>\n

\"\"<\/a><\/p>\n3<\/strong><\/span> The “Exporting of payments<\/strong>” view will open.<\/p>\n

\"\"<\/a><\/p>\n

    \n
  1. Bank account selection \u2013 if the company has multiple bank accounts, you need to choose which account the payments will be made from<\/li>\n
  2. Payment date \u2013 decide whether the payment date should be based on the invoice due date or if you want to specify a different date. This selection applies to all the invoices that were chosen<\/li>\n
  3. By default, the setting is enabled so that when the payment order is generated, the invoice status is changed to “Pending in bank” to prevent the payment from being mistakenly sent to the bank multiple times<\/li>\n
  4. Forward \u2013 to save the payment file<\/li>\n<\/ol>\n

    Once the payment file has been saved, log in to your internet bank, import the payment file and confirm the payments.<\/p>\n<\/div><\/div>\n

    <\/span>Sending a single payment to the bank via the bank integration<\/strong><\/div>
    \n1<\/strong><\/span> Open the purchase invoice you want to send for payment, select “<\/span>Send payment to the bank<\/strong>” from the <\/span>Actions<\/strong> menu.<\/span><\/p>\n

    \"\"<\/a><\/p>\n2<\/strong><\/span> A window will open where you can select the bank to which the payment will be sent. Only banks with an active integration will be displayed in this view.<\/p>\n

    \"\"<\/a><\/p>\n3<\/strong><\/span> After selecting the bank, you can choose the payment execution date and if necessary, adjust the amount. By default, the outstanding balance of the invoice is set as the payment amount.<\/p>\n

    \"\"<\/a><\/p>\n

    Once the payment has been sent to the bank, the invoice status will change to “Pending in bank<\/strong>” preventing it from being mistakenly sent for payment again.<\/p>\nImportant<\/strong><\/span> Sent payments must be confirmed in the bank!<\/p>\n<\/div><\/div>\n

    <\/span>Sending multiple payments to the bank via the bank integration<\/strong><\/div>
    \n1<\/strong><\/span> Select the invoices with the status “Unpaid<\/strong>” in the purchase invoice list. A “Bulk actions<\/strong>” option will appear at the top of the list. Click on it and select “Export selected rows.<\/strong>“<\/p>\n

    \"\"<\/a><\/p>\n2<\/span> The data export view will open, where you can select “Send payments to bank.<\/strong>“<\/p>\n

    \"\"<\/a><\/p>\n3<\/strong><\/span> A window will open where you can select the bank to which the payments will be sent. Only banks with an active integration will be displayed in this view.<\/p>\n

    \"\"<\/a><\/p>\n4<\/strong><\/span> After selecting the bank, you can choose the payment execution date (either the due date shown on the purchase invoice or a date of your choice).<\/p>\n

    Once the payments have been sent to the bank, the invoice status changes to “Pending in bank<\/strong>“, preventing them from being mistakenly sent for payment again.<\/p>\nImportant<\/strong><\/span> The sent payments must be confirmed in the bank!<\/p>\n<\/div><\/div>\n<\/div>\nImportant<\/strong><\/span> For international payments<\/strong>, banks allow the use of only one field \u2013 either the payment description or the reference number. Since the invoice number is mandatory in SimplBooks and cannot be left empty, leave the reference number field blank. If both fields are filled in, the payment may fail to be transmitted to the bank.<\/p>\n
