Salary payment

Once the salary has been calculated, the next step is to pay it out. To generate a payment file or send the salary to the bank via a bank integration, the employee must have a bank account (IBAN) saved on their employee card.

Options for marking salary payments as paid:

  • Mark manually as paid – enter the payment date and select the correct bank (if multiple banks are in use)..
  • Export the payment as an XML file from the salary calculation view (for an individual employee).
  • Send the payment to the bank directly from the salary calculation view (for an individual employee).
  • In the salary list, select one or more salaries and either send them to the bank or generate a payment order file and import it into the bank.

The salary calculation has been saved:

1. Click the “Actions” button
2. Select “Mark as paid

You will be taken to the outgoing payment view:

  1. The default bank account will be automatically displayed here. If the payment is made from a different bank account or from cash, you need to select the correct account here.
  2. Specify the payment date.
  3. The amount payable to the employee (net salary) is shown in the “For the employee” column. Salary-related taxes are always paid separately and are not part of this payment.

Save the payment.

Sending a single payment or generating a payment file

If the company has only one employee or you want to send salary payments to the bank individually, this can be done from the saved salary calculation.

  1. If the bank integration is not activated, the payment order file can be saved by selecting “Export payment as XML file” from the “Actions” menu. The file can then be imported and the payment confirmed in the bank.
  2. If the bank integration is activated, there is an option “Send payment to bank” in the “Actions” menu. By clicking this option, the payment is sent to the bank as unconfirmed and the payment must then be confirmed in the bank.
Sending multiple payments at once or generating a payment file

To create multiple payments at once, go to the salary list. It is helpful to filter the salaries by the status “Salary unpaid“. You can do this by using the advanced search function.
Once the status filter is set, select all the salaries and the “Bulk actions” button will appear. By clicking it, you will see the option “Export selected rows“.

The “Data export” panel will open, where we can temporarily ignore the upper section (list export) and focus below on the “Export of salaries” section.

  1. To save the payment order file, select “Exporting of payments in SEPA format“.
  2. To send the payments directly to the bank, select “Send payments to the bank“. The payments will be sent to the bank as unconfirmed and must be confirmed in the bank.

If the bank integration is active, you can still save the payment file if needed. This may be useful when the company has accounts in several banks that are not all connected via integration.
