Settings -> Environment settings -> Invoice settings

By default, automatic reminders are not sent to the client for overdue invoices.

1. Reminder sending settings

To enable automatic reminders, you need to select a suitable option from the drop-down menu in the “Send invoice reminders” field:

  • Send to all customers
  • Send to selected customers

If you choose “Send to selected customers,” you need to mark on the client’s card that they should receive reminders. This setting can be found on the Client/Supplier settings panel within the client card.

2. Reminder sending time

By default, a reminder for an unpaid invoice is sent 2 days after the due date and a mail template is already set up.

To change the reminder settings, click the “Edit” button (pencil icon).

Here you can adjust the number of days and select a different mail template.

3. Editing the reminder mail template

When adding a new message template or editing an existing one, we recommend using the path
Settings -> Environment settings -> Mail templates. You can also access the same section from the reminder edit view by clicking the “Manage mail templates” link.

In the message template view, you can see the existing reminder template, which you can modify as needed. Below the “Mail contents” field, you will find a list of variables that can be used within the text.

If desired, you can send a test reminder to your own email address by clicking the “Send test email” button at the top right.

4. Adding a new reminder and deleting a reminder

If you want to add additional reminders with different sending times and mail templates, click the “Add new reminder” button.

You can set a reminder to be sent before the invoice due date. Just keep in mind how long your clients’ payment terms are and whether sending early reminders makes sense.

You can delete a reminder template by clicking the cross (X) at the end of the row.

If you want to send reminders in other languages used in the environment, you need to add the corresponding message templates in those languages as well.
