AI assistant

The SimplBooks AI assistant is a smart helper that can answer questions about both using SimplBooks and managing your company’s accounting.

The AI Assistant can answer questions about SimplBooks features, analyse company data, and help identify potential errors or inconsistencies. It retains the context of the conversation, so you do not need to explain the same topic again.

The AI Assistant is an optional add-on service subject to an additional fee. The service is disabled by default and must be activated before use.

Please note:

  • The AI Assistant uses artificial intelligence and may make mistakes or provide inaccurate answers. Always verify the information provided before making important decisions.
  • A 30-day free trial applies when the AI Assistant is activated for the first time. If the integration is not removed during the trial period, the service will automatically continue after the trial in accordance with the applicable price list.
Activating the AI assistant

Go to Settings -> Integrations -> AI Assistant

Click “Activate”

Once the integration has been activated, the AI assistant icon will appear in the SimplBooks interface.

To start a conversation, click the AI assistant icon. Enter your question or task in the chat window that opens.

What can you ask the AI assistant?

Questions About Using SimplBooks

The AI Assistant has been trained using SimplBooks user guides and webinars.
For example, you can ask:

  • How do I send an e-invoice?
  • How do I create a credit invoice?
  • How do I modify the chart of accounts?
  • How do I enter a purchase invoice?

Data Analysis and Summaries

You can ask the AI Assistant about the data available in your company’s SimplBooks environment.
For example:

  • What were the largest expenses last year?
  • Compare sales in April over the past three years.
  • In which months was sales revenue the highest?

When asking a question, it is always advisable to specify the period to be analysed and the type of comparison required.

Checklists and Recommendations

You can also ask the AI Assistant for recommendations on reviewing accounting data.
For example:

  • What should be checked before preparing the annual report?
  • What should be reviewed in the receivables and prepayment accounts?
  • What steps should be completed before preparing the VAT return?
Important information
  • The AI assistant’s responses may contain errors. It is a support tool and is not intended to replace the professional judgement of an accountant, auditor, tax adviser, or lawyer.
  • When using the AI assistant, submitted queries are processed on servers located in the United States. As a result, data included in the queries may be transferred outside the European Union.
  • Do not enter more personal data, confidential information, or other sensitive information into the chat than is necessary to answer your question.
  • By activating the AI assistant, the user confirms that they have familiarised themselves with the opportunities and risks associated with using the service.
Removing the AI assistant

You can disable the AI assistant at any time if you no longer wish to use it.

Go to Settings -> Integrations -> AI assistant.

Click “Delete“.
